Begin your letter with a clear and concise statement of your purpose in writing. For example, you might say, “I am writing to notify you of my desire to terminate the property management contract that pertains to my townhouse at (full address, city and state).”

Make it clear that you are abiding by the terms of your contract. You might say, “The terms of the contract require that I provide you with 30 days’ notice of my intention to terminate the contract. As today’s date is October 1, the contract shall be null and void as of October 31.”

Include a brief explanation about why you are terminating the contract, if you wish. This is purely optional, but it may head off an inquiring phone call from the property management company. For example, you might say, “Though I have been very satisfied with your services, a close family member is moving to the area and has volunteered to oversee the property on my behalf.”

Add a special thank you for the company’s services, if you are so inclined. Mention the company’s response to a specific event or episode that impressed you. Say that you will keep the company in mind for your future needs or those of family, friends and co-workers. In business, it never pays to burn bridges.

Thank the recipient for her time and “prompt attention to this matter.” End your letter with a formal closing, such as “Sincerely.” Space four times and then type your full name. Sign your full name above your typed name.

Proofread and edit your letter carefully. Ensure that it is free of spelling and grammatical errors.

Send your letter by certified mail. A receipt will provide proof that the letter was delivered.

Dear Mr. Gaur,

Hope you are doing great. We have just shifted to your apartment at Raj Nagar this week and discovered a few inconveniences which I would like to bring to your notice.

The first issue is that the sink in the kitchen is dripping. Every time we use the sink, it gets clogged and water starts dripping. It is quite stinky as well. It looks like a drainage system obstruction. The second concern is that the flush of the bathroom attached with the kids’ room is out of order. It could either be due to a damaged pipe or hindrance in the flow of water in the tank.

Both these problems are causing a lot of inconvenience for my family and need your immediate attention. I request you to look into this matter and take the appropriate action at the earliest possible.

Hope you are doing great. I am surprised to hear from you that you are immensely annoyed by the sound coming from my flat.

I thought that the noise will not reach your flat, but I now realize that it has irritated you and I apologize for the problem. Recently, a tap got burst somewhere inside the wall of my house and it has caused dampness in my cupboards, leading to a pungent smell in the house. Not only this, the clothes in the cupboard have got fungus stuck in them.

The authorities have already  been contacted and they have fixed the pipe but it was requested that I keep the windows of the house open for at least five days. Although I tried my best efforts to cause you no inconvenience, but it has been caused. However, I promise there won’t be any noise from today.

Once again, I’m extremely sorry for any inconvenience that I might have caused you.

I am a resident at the MG Road, and the president of the residential association for the people living in and around the MG Road. My house is right next to your restaurant.

I am writing to bring it into your notice that we hear a lot of noise coming out from your restaurant. Loud music being played in the pub and people getting rowdy and creating ruckus after drinking is a common site these days at your restaurant. And it gets really loud, when it’s expected to be quieter.

To be honest, I am a bit disappointed. Before writing to you, twice I had a word with the manager of your restaurant. He told me that he will look into it for me but nothing happened. He turned a deaf ear, and I feel that was a bit rude of him to do so.

I would like to request you here to curb the sound post 2300 hours and maybe install sound proof glasses wherever necessary. As you know it’s against the law to play loud music between 22:00 and 07:00.

As well, would really appreciate if you could ask your clients to keep their voices to themselves, as they tend to get too loud after downing few pints and hire a few bouncers to keep the brawlers at bay. If everyone liked the same sounds, noise would not be a problem. What’s music to your ears, your neighbors might dislike.
